The Relationship Maintenance Routine
Monthly · Last day of the month or first Monday
⏱ Once per month · 45–60 min
Weekly check-ins feel performative and create obligation. Monthly is the right cadence for independent consultants — long enough that you have something real to say, short enough that nothing goes cold. The goal is to stay in the peripheral vision of people who respect your work, without becoming noise.

    Pull your list
    Open the Contacts panel. Filter to Follow-up due. These are the people you haven’t touched in 30+ days who you said you’d stay in contact with.

    Filter your connections by the tag “Follow Up” to cross-reference. Anyone on both lists gets priority this month.

    Find a genuine reason to reach out
    For each contact, check their Alignable profile or LinkedIn. Did they post something? Share a milestone? Start from what’s real for them, not from a template.

    Send one low-pressure message
    Message in Alignable or however they prefer. Keep it low friction: share something useful, reference your last conversation, or ask one specific question. Never ask for anything on a reactivation touch.

    After sending, update their Notes: “[Date] · [What you sent].” This creates a record you can reference next month.

    Give a recommendation where it’s genuine
    Recommendations on Alignable create asymmetric goodwill. Two minutes from you; visible on their profile for years.

    Profile → “Write a Recommendation.” Be specific: what they do, what made the interaction valuable, who they’d be great for.

    Update the tracker
    Log the interaction here. Note what you sent and reset the follow-up date. The ritual only works if the record stays current.

    Honest tag review
    Spend 5 minutes updating tags. Anyone warmer moves up. Anyone quiet for 90+ days moves to Cold — not deleted, just deprioritized.

The Post–Smart Connect Sequence

The reason most Smart Connect connections go nowhere isn’t lack of interest — it’s delay. Twenty-four hours after a session, names blur and momentum evaporates. This ritual runs the same day, while conversations are still vivid.

    Add everyone — now
    Create a contact record for every person you met. Name, what they do, one thing you remember. Imperfect notes now beat perfect notes tomorrow.

    Connect on Alignable — today
    Send a connection request to each person. In the message, reference something specific from your conversation. One sentence of specificity makes you unforgettable.

    Tag each contact in Alignable
    Right after connecting, add tags to their Alignable profile. Don’t skip this — it’s 10 seconds that saves 10 minutes later.

    Drop a note on each Alignable profile
    Add a private note before closing the tab. This is your external memory.

    Format: [Date] · [What they do] · [What you discussed] · [Any open commitments]. One to three lines. You’re writing for yourself six months from now.

    Write recommendations while they’re fresh
    First impressions articulated well are often the most honest. One or two per session is enough.

    Three sentences minimum. What they do clearly, what stood out, who they’d be right for. A rec that could apply to anyone applies to no one.

    Send what you promised
    Resource, article, intro — do it now. Not tomorrow. This one action separates you from 90% of people they met today.

    Set follow-up dates
    30 days out for most contacts, sooner for warm leads. No follow-up date = a relationship on a timer you can’t see.

How the tracker works
This tracker saves everything in your browser’s localStorage — no accounts, no servers, no subscriptions, and no data leaving your device. If you clear your browser cache or switch devices, your data won’t follow you automatically. Export from Data & Backup regularly.
The core loop

Meet someone → Add them immediately after the session → Run Ritual 2 → Let the tracker surface them in your monthly ritual → Repeat. Two minutes after each session beats two hours at month’s end.

Tag reference
Tags are your primary sorting mechanism. Use them to categorize by relationship status. Mirror these tags inside Alignable so your contacts are searchable on both platforms.
🔴 Warm Lead
Expressed genuine interest in what you do or has a need you can serve. Prioritize in monthly outreach.
🟢 Active Conversation
You’re in an ongoing exchange — a proposal, exploratory call, or a thread still alive. Monitor weekly. Don’t let these go quiet.
🟡 Referral Partner
Complementary work, mutual referral interest. These need reciprocity — make sure value flows both directions.
⚪ Cold
Two outreaches without response, or a connection that hasn’t developed. Not deleted — deprioritized. Never surfaces on the dashboard.
📌 Follow Up
You made a specific commitment — to send something, make an intro, or reconnect. An open loop. Clear it by doing the thing.
🎤 Speaker/Collaborator
Someone you’d invite to co-create content or collaborate on a project. Intellectual or creative alignment.
Attention rules
The dashboard surfaces contacts based on four rules — not just a due date.
Follow-up due
Follow-up date is today or past. Not Cold. Not added in the last 7 days (grace period for new contacts).
Active Conversation — always visible
Any contact tagged Active Conversation surfaces on the dashboard regardless of follow-up date. These need weekly eyes.
Slipping — 60+ days
No follow-up date set, no interactions logged, and added 60+ days ago. The relationship is drifting — not overdue, just unattended.
Cold — never surfaces
Cold contacts are deprioritized entirely. They won’t appear on the dashboard until you change their tag.
Alignable — the specifics
This tracker is built to live alongside Alignable. Everything you log here has a corresponding action inside Alignable — and keeping both in sync takes about 90 seconds per contact if you do it right after adding them.
Notes (in Alignable)
Profile → three-dot menu or “Note” option → Add a note. Notes are private — only you see them. Recommended format: [Date] · [What they do] · [What you discussed] · [Open commitments]. Keep it concise — one to three lines. Update after every meaningful interaction.
Tags (in Alignable)
Connections list → contact → Tag/Label feature. Mirror the same tags as this tracker. Makes your monthly ritual start from a filterable list, not a memory exercise.
Recommendations (in Alignable)
Public, permanent, and powerful. Profile → “Write a Recommendation.” Be specific: what they do, what made the interaction valuable, who they’d be right for. The more specific the rec, the more it functions as a referral.
Connection Requests (in Alignable)
Always include a personalized message. One sentence referencing your Smart Connect conversation dramatically increases acceptance rates and sets the tone.
Why monthly, not weekly
Weekly outreach creates two problems: it feels like a job, and it feels like spam. Monthly is long enough to accumulate something real to say. Monthly outreach feels like attention, not obligation.
The exception

Active Conversations get weekly attention. Live proposal, exploratory call, open thread — that’s different from network maintenance. Weekly for active relationships. Monthly for everyone else.

For hosts sharing this tool
This app is hosted at a permanent URL. Each user’s data lives in their own browser — updating the app on the server never touches anyone’s contacts. The schema version system ensures any structural changes migrate forward silently on first load.

Set up your Alignable tags
Before your next Smart Connect, create these tags in Alignable so they’re ready to use immediately: Smart Connect, Warm Lead, Referral Partner, Follow Up, Active Conversation, Cold.
In Alignable: Connections list → click any contact → Tag or Label option → create your tags once, use them forever.

Export a backup after every session
After every Smart Connect session where you add contacts, go to Data & Backup → Export. Save it somewhere permanent. Name it with a date: network-backup-2026-03.json

Moving to a new device or browser
Open the tracker → Data & Backup → Import a backup → select your most recent .json file → click Import. Your contacts merge in instantly. Nothing duplicates.

When the tracker gets updated
If the host pushes an update, you’ll see it on your next reload. Your contacts are never affected by updates. If something looks different after a reload, check the Contacts panel — your data is still there.
